Use this guide to plan seasonal activities around your real family schedule, review the plan, add the approved activities to Google Calendar, and keep everything updated as your plans change.

You’ll use three prompts in order.

This is a multi-step workflow, not one giant prompt.

Follow the steps in order and only use the Copy Prompt button when the Guide tells you to.

Stay in the same ChatGPT conversation throughout the process.

SETUP

Set this up first

1. CONNECT GOOGLE CALENDAR
Open Apps or Plugins in ChatGPT, find Google Calendar, choose Install/Connect, sign into the calendar you actually use, and approve the permissions you’re comfortable with.

2. GMAIL IS OPTIONAL
You only need Google Calendar for this workflow.
Gmail can help later with tickets, reservations, school emails and confirmations.

3. PROJECT IS OPTIONAL
Create a Project called Family Fun Planner if you want to keep the same planning chat and update it all season.

4. APPROVALS ARE NORMAL
ChatGPT may ask you to approve calendar changes before it creates, edits or deletes events.

If you don’t see Google Calendar, availability can vary by ChatGPT plan, account, region and permissions.

01 Plan your family weekends

Start by telling ChatGPT about your family, availability and the season you want to plan.

Replace the bracketed information before sending.

Help me plan fun, seasonal family activities every weekend. Here is our family: • ZIP code: [YOUR ZIP CODE] • Kids’ ages: [AGES] • Maximum drive time: [EX: 1 HOUR] • Start date: [DATE] • Plan through: [DATE OR HOLIDAY] • Friday availability: [ADD HERE] • Saturday availability: [ADD HERE] • Sunday availability: [ADD HERE] • Other schedule considerations: [NAPS, SPORTS, BEDTIME, ETC.] I want the activities to feel fun + festive without overscheduling us. 1. Search for real family-friendly events, festivals, parades, farms, markets, holiday events + activities within our driving radius. 2. Verify public event dates + times using current online sources. Prioritize official event websites whenever possible. 3. Do not invent an event time if the official schedule has not been released. Clearly label anything TBD or unconfirmed. 4. Mix bigger outings with easy at-home traditions so we are not driving somewhere every weekend. 5. Build the schedule around our actual availability. 6. Match activities to the season. FALL/HALLOWEEN: pumpkin patches, corn mazes, apple picking, Halloween events, parades, carving, baking + movie nights. CHRISTMAS: tree lightings, Santa events, markets, parades, lights, cookies, crafts + cozy traditions. 7. If there is a major local event we really should not miss, prioritize it and build the rest of that weekend around it. 8. Organize everything weekend by weekend with: date, activity, suggested time, location, approximate drive time, whether it is optional + important details. 9. Only recommend events open to the general public unless you clearly explain any membership, registration, residency or other participation requirements. 10. If you cannot access current web information, tell me instead of inventing local events, dates or times. 11. Do NOT add anything to my calendar yet. Give me the draft plan first so I can review it and make changes.

02 Make the plan work for real life

Don’t paste a new prompt yet.

Just reply naturally to the draft ChatGPT gave you.

Tell it your real-life rules.

Examples:
“Nothing after noon on Sundays.”
“Friday nights need to be really easy because my kids are tired.”

Protect the must-dos:
“We absolutely cannot miss our town’s Halloween parade.”
“I don’t want two big outings in the same weekend.”

Swap what doesn’t work:
“Find something closer to home.”
“I don’t like that activity. Find us something else.”
“Make October 24 an at-home weekend.”

Keep changing things until you look at the schedule and think:
YES. WE WOULD ACTUALLY DO THIS.

WHEN THE SCHEDULE IS APPROVED
Move to Step 3 and paste Prompt #2.

CALENDAR

03 Add the approved plan to Google Calendar

Only do this after you are happy with the schedule.

Replace the invite placeholder with the exact name and Google Calendar email of anyone you want invited.

If nobody should be invited, replace it with NONE.

The schedule is approved. Please add all of the approved activities to my connected Google Calendar. Invite: [NAME + EXACT CALENDAR EMAIL ADDRESS] For every calendar event: • Use the event’s correct local time zone. • Add the full location or address when available. • Put OPTIONAL in the title of optional activities. • Add useful details to the event description. • Do not create duplicate calendar events. • Do not add activities we removed or replaced during planning. If I want another person invited, use the exact email address connected to their calendar. If I enter NONE, do not invite anyone. For public events, include as much useful VERIFIED information as available: • official event time • full address • parking • tickets or admission • reservation requirements Also include: • event website • what to bring / wear • food options • when we should arrive • anything we need to book ahead If an official event time has NOT been published, do not guess a time and put it on my calendar as if it is confirmed. Instead, tell me the time is still TBD and ask whether I want a reminder to check again later. If you cannot actually access or make changes to my Google Calendar, stop and tell me what connection or permission is missing. Do not tell me events were added unless they were actually created. Do not add Google Meet or other video-conference links to these events. After adding everything, tell me when it is complete.

ChatGPT may ask you to approve calendar actions.

Wait until the calendar events have actually been created before continuing.

DOUBLE-CHECK

04 Double-check everything

After ChatGPT adds the calendar events, paste this into the SAME conversation.

Now review all of the calendar events you just created. Please: • Check for duplicates. • Make sure every approved activity was added. • Confirm the dates. • Confirm public-event times using current official sources. • Make sure each event uses the correct local time zone. • Confirm the invited person was added. • Flag anything whose official schedule has not been published yet. • Tell me what needs to be checked closer to the event date. Do not delete or change pre-existing calendar events that were not created as part of this plan. If an older event appears to duplicate one you just created, tell me and ask before deleting either one. Do not change anything else unless a correction is needed. If something is incorrect, fix the calendar event and tell me what changed.
