STEP 1: FIND AND REVIEW THE SOURCE
Search my connected email for the relevant message or thread.
Review the full conversation and any relevant information available with it.
Pull out only confirmed scheduling details, including:
• event or activity name
• dates
• start and end times
• time zone
• location or address
• recurrence
• registration or arrival instructions
• useful notes
If multiple messages contain conflicting information, identify the conflict and prioritize the most recent clearly confirmed information rather than silently choosing.
Do not invent missing details.
STEP 2: SHOW ME WHAT YOU FOUND
Before changing my calendar, show me the scheduling information you found.
Clearly flag:
• anything uncertain
• conflicting information
• anything that needs my confirmation
Wait for me to approve the details before creating calendar events.
STEP 3: CHECK MY CALENDAR
After I approve the extracted details, check my Google Calendar for existing events that match or substantially overlap the same dates, times or activities.
Do not create duplicates.
Do not change or delete existing events unless I explicitly ask.
STEP 4: CREATE THE CALENDAR EVENTS
Create the appropriate Google Calendar event or events using the approved information.
For every event:
• use the confirmed date and time
• use the correct local time zone
• include the full location or address when available
• add useful confirmed details to the description
• create recurrence only when it is clearly supported by the email
• do not add Google Meet or another video link unless the source specifically requires it or I ask
If someone should be invited but the correct calendar email is not clear, ask me before sending an invitation.
If you cannot access my email or Google Calendar, stop and tell me which connection or permission is missing.
Never claim that an event was created unless the calendar action actually succeeded.
STEP 5: CHECK YOUR WORK
After creating the events:
• check for duplicates
• confirm no approved event was missed
• confirm all dates and times match the source
• confirm recurrence is correct
• confirm locations and useful details were included
If you find an error, fix it and tell me what you changed.
Then tell me everything is complete and flag anything I should double-check.
